At Cloud 9 Travel we are committed to maintaining the trust and confidence of our customers and visitors. The following privacy policy is designed to give you peace of mind whilst allowing us to provide you with a personalised service.


The purpose of this Privacy Policy is to inform you when and why we collect your personal information, how we may use your information and how you can correct it. It also covers the limited conditions under which your information may be disclosed to others and how we keep it secure.


We may amend this Privacy Policy at any time without notice in which case the amended (timestamped) version will be immediately published on our website. It is your responsibility to check regularly to determine whether this Privacy Policy has changed. We shall not be liable to you or any third party for any change to this Privacy Policy from time to time.


The information we collect and when it is collected

You do not have to provide your personal information to us, but if you do not provide certain information we will only be able to provide limited products and services to you. For example, where you refuse to provide mandatory travel information, we will not be able to transport you.


If you subscribe to our mailing list, make an enquiry, book a holiday with us or request a brochure we will collect information that may include the following:

• First and last name (including any middle names)

• Postal address

• Email address

• Telephone numbers (landline and mobile)

• Passport details (including nationality & biometric data)

• Occupation

• Loyalty / membership numbers

• Payment card details


When you enter a survey or competition designed by Cloud 9 Travel we may collect some or all of the above information. This may be through offline channels such as magazines, newspapers and industry events or through online channels such as social media, email marketing or on our website (including third party websites).


If you apply for a visa using our visa service then we will store your latest application form on our secure server for future reference.


If you visit one of our offices, you may be monitored by closed circuit television for security purposes. In each case, we do so in compliance with applicable laws. We may monitor and record communications with you (including phone conversations and emails) for quality assurance and compliance.


We use a third-party provider, MailChimp, to deliver our email marketing / news. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our email marketing. You can unsubscribe to general mailings at any time of the day or night by clicking the unsubscribe link at the bottom of any of our emails or by emailing our data protection officer.


What we do with your personal information

Personal Data about our customers is an important part of our business and we shall only use your Personal Data for the following purposes and shall not keep such Personal Data longer than fifteen years.


Your information will be held securely for our internal use for the following reasons:

• To enable us to comply with our contractual obligations regarding your travel arrangements.

• To help us to identify you when you contact us.

• To improve your customer experience.

• To provide you with marketing communications and inform you of special offers from us by email, social media, multimedia messaging or by post.

• To efficiently process payments for your bookings or to fulfil a refund request.

We will only share your personal information with our authorized travel service providers, and only as necessary in order to complete a transaction that you have specifically requested.


This may include the transfer of information outside the EEA (European Economic Area). Please be aware that controls on data protection outside the EEA may not be as strict as in the UK.


This applies to any sensitive information that you give to us such as details of any disabilities, or dietary/religious requirements. If we cannot pass this information to the relevant suppliers and organisations, whether in the EEA or not, we cannot provide your booking. By making a booking, you consent to this information being passed on to the relevant persons.


Your details may be provided to security or credit checking companies, public authorities such as customs/immigration if necessary, or to others as required by law.


We may share your information with third parties who help us manage our business and deliver our products and services. These third parties have agreed to confidentiality obligations and use any personal information we share with them or which they collect on our behalf solely for the purposes of providing the contracted service to us. These third parties include service providers who help manage our IT and back office systems as well as banks and payment providers to authorise and complete payments.


If we are acquired or are in the process of being acquired by a third party, we will pass your details to any successor to our business (or any relevant part of it) as one of the transferred assets.


We do not sell, rent or trade your personal information to third parties for marketing purposes without your express consent.

The data we collect from you will be stored within the UK and protected by a secure server. We also have a Firewall (security software) in place to protect our internal information from the Internet.


We will take all reasonable steps to ensure that your data is treated securely and in accordance with this privacy policy.


We do not sell, rent or trade your personal information to third parties for marketing purposes without your express consent.


Access to information

We aim to keep the Personal Data we hold about you accurate and up to date. You have the right to view, amend or delete the data we hold about you. If you tell us that we are holding any inaccurate information about you, we will delete it or correct it promptly.
